Locumplete Ltd is a UK recruitment and intermediary business connecting locum optometrists with optical practices requiring temporary cover.

Depending on how you use Locumplete, we may collect the following categories of personal information.
Locum optometrists
Name, contact details, postcode or general area, and communication preferences.
GOC number and registration status, qualifications, accreditations, experience and other professional information.
Availability, preferred locations, travel preferences and expected rates.
Business or trading status and, where applicable, limited-company or PSC details, including company name, company number and VAT status.
NHS Ophthalmic Performers List status where relevant.
Identity and Right to Work information, professional indemnity details, references, DBS or other compliance information where legally appropriate, and other information required to assess suitability for assignments.
Booking history, attendance and reliability information, complaints, incidents, cancellations and correspondence with Locumplete.
Optical practices and practice contacts
Name, job role, business or practice name, contact details and practice address.
Booking requests, assignment requirements, agreed rates or fee information and booking history.
Invoice and payment records, complaints, incidents and correspondence with Locumplete.
Locumplete does not normally require patient-identifiable clinical information and asks practices and locums not to provide it unless it is genuinely necessary and lawful.
Where a role requires an appropriate criminal-record, barred-list or other compliance check, Locumplete may process relevant information only where necessary, proportionate and legally permitted.
We may obtain personal information from:
you directly, including through registration forms, booking requests, email, telephone calls, website enquiries and other correspondence;
referees, previous employers or optical practices where references are required;
practices or locums following a booking, for example attendance, reliability, complaint or incident information;
official and public sources such as the GOC register, Companies House and relevant NHS or performer-list records; and
authorised compliance, identity or verification services where appropriate.
We will only collect information from third parties where it is relevant and lawful to do so.
Locumplete may use personal information to:
register locum optometrists and practice contacts;
assess a locum’s suitability for assignments and verify relevant professional or compliance requirements;
match locums with suitable practice opportunities and arrange, confirm and manage bookings;
communicate about assignments, changes, cancellations, rates, payments and other operational matters;
provide relevant locum information to practices where necessary for a placement;
maintain booking, compliance and business records;
manage complaints, incidents, safeguarding concerns or regulatory issues;
issue and manage Locumplete invoices and accounting records;
prevent fraud, misuse or serious breaches of Locumplete’s terms;
comply with legal, regulatory and professional obligations; and
manage, operate and improve Locumplete’s services and internal systems.
Locumplete will only use personal information for purposes that are compatible with the reason it was collected, unless another lawful basis applies and the individual is appropriately informed.
The lawful basis we rely on depends on why and how we are using the information.
Locumplete may rely on:
Contract / steps before entering into a contract — where processing is necessary to register locums or practices, provide recruitment or work-finding services, arrange bookings or administer assignments.
Legal obligation — where processing is necessary to comply with recruitment, tax, accounting, immigration, regulatory or other legal requirements.
Legitimate interests — where processing is reasonably necessary to operate a safe and effective recruitment service, match suitable locums with practices, manage complaints, prevent fraud, protect the business and maintain appropriate records, provided those interests are not overridden by an individual’s rights.
Consent — where it is genuinely appropriate, for example for certain optional marketing, testimonials or other voluntary activities.
Consent will not normally be used as the lawful basis for core recruitment, verification or booking activity.
Where Locumplete processes special-category or criminal-offence information, additional legal conditions and safeguards may also apply.
Some information is necessary for Locumplete to register, verify or place a locum, manage a booking, comply with legal obligations or provide the requested service.
If required information is not provided, Locumplete may be unable to:
complete a locum’s registration or verification;
offer or confirm assignments;
process or manage a booking;
comply with relevant legal or regulatory requirements; or
continue providing certain services.
Locumplete will only ask for information that is reasonably relevant and necessary for the purpose for which it is required.
Where necessary and lawful, Locumplete may share personal information with:
optical practices and their authorised staff, where information is needed to assess or confirm a locum for an assignment;
locum optometrists, where practice or contact information is needed to arrange and perform a booking;
regulators, government bodies and public authorities where required by law or for legitimate compliance purposes;
DBS, Right to Work, identity or other authorised compliance-checking services where applicable;
professional advisers such as accountants, solicitors, insurance brokers and insurers;
IT, website, email, cloud-storage, form, accounting and other service providers that help Locumplete operate its business; and
law-enforcement or other competent authorities where disclosure is legally required.
Locumplete will only share information that is reasonably necessary for the relevant purpose and will not sell personal information to third parties.
When sharing information with a practice, Locumplete will aim to provide only the information relevant to the booking and compliance requirements rather than the locum’s entire file.
Locumplete keeps personal information only for as long as reasonably necessary for the purpose for which it was collected, including to provide recruitment services, manage bookings, comply with legal and regulatory obligations, resolve disputes and maintain appropriate business records.
Recruitment and placement records relating to locums and practices will normally be retained for at least the minimum period required by applicable recruitment legislation, including at least 12 months following the last work-finding service provided where required.
Some records may be kept for longer where necessary for legal, accounting, tax, insurance, regulatory or dispute-resolution purposes.
Right to Work, DBS and other sensitive compliance information will be reviewed separately and will not be retained for longer than necessary or legally permitted.
Where information is no longer required, Locumplete will securely delete or anonymise it.
Locumplete takes appropriate technical and organisational measures to protect personal information against unauthorised access, loss, misuse, alteration or disclosure.
These measures may include:
restricting access to information to those who reasonably need it;
using password-protected accounts and appropriate authentication controls;
using reputable website, email, cloud-storage and business-service providers;
keeping systems and devices reasonably secure and up to date;
limiting the amount of sensitive information collected and retained;
using additional access controls for compliance documents and other sensitive records where appropriate; and
maintaining procedures for responding to suspected data breaches or security incidents.
No system can be guaranteed to be completely secure. Locumplete will take reasonable and proportionate steps to protect the information it holds and will review its security arrangements as the business develops.
Some of Locumplete’s service providers may process or store personal information outside the United Kingdom.
Where personal information is transferred internationally, Locumplete will take reasonable steps to ensure that the transfer is made in accordance with UK data-protection law.
This may include relying on UK adequacy regulations, approved contractual safeguards or another lawful transfer mechanism.
Locumplete will review the data-handling arrangements of key service providers and will not knowingly transfer personal information internationally without an appropriate legal basis or safeguard.
Depending on the circumstances and the lawful basis Locumplete relies on, you may have the right to:
ask for a copy of the personal information Locumplete holds about you;
ask us to correct inaccurate or incomplete information;
ask us to delete your personal information in certain circumstances;
ask us to restrict how we use your information in certain circumstances;
object to certain uses of your information;
request transfer of certain information to you or another organisation where the right to data portability applies;
withdraw consent where Locumplete relies on consent for a particular purpose; and
raise concerns about automated decision-making where applicable.
These rights are not always absolute. Locumplete may need to retain or continue using certain records where required by recruitment, tax, accounting, legal or regulatory obligations.
Locumplete does not currently make decisions producing legal or similarly significant effects solely by automated means.
